Ashmore Lettings & Sales offer help and advice during every step of the letting process from the initial property search to the day you move in!

We accompany all prospective tenants at viewings (vacant properties) and will discuss with you details of all the necessary paperwork. With our managed service, we also accompany each tenant at the property on the day of move in which enables us to go through the property inventory and answer any questions that may arise.

Once you have selected a property or properties that you are interested in you will want to arrange a viewing. You can do this by calling the phone number above or use the “Register with Us” link on the left of this page, or you can use the "Email agent" on any one of our affiliate’s page

After a viewing has been conducted and you wish to make an application for the property you have viewed an appointment will be made for you to complete an application form.

Prior to completing an application you will need to pay a holding deposit of no more than one week of the agreed gross rent.

Once your application has been received we will conduct no more viewings on that particular property. In essence the property has been "reserved" for you pending successful referencing.

Each applicant will be referenced using our appointed referencing company. This should take no longer than 48 hours providing the referencing company can confirm the information provided on the application.

If your application is successful we will contact you and arrange a date for you to sign the relevant documents and take possession of the property.

Should your referencing be unsuccessful, don't panic! This may not be the end. Depending on your circumstances we may still be able to proceed with your application. For example a guarantor and/ or rent in advance may be required. Whatever your circumstances we will endeavour to help you in any way we can.

Tenancy Agreement

EACH applicant AND your guarantor (if applicable) will be required to sign the respective Tenancy Agreement/ Guarantor Agreement PRIOR to the tenancy commencing.

Further to satisfactory references being obtained the tenancy will proceed subject to authorisation from the property owner. At this time the full property deposit will be due. The deposit will be no more than 5 weeks equivalent of the monthly rent.

A change to a tenancy is any reasonable request to alter a tenancy agreement. This could be making changes to the tenancy agreement to enable:

  • pets to be kept in the property
  • a change of sharer in a joint tenancy
  • permission to sub-let
  • a business to be run from the property
  • or any other amendment which alters the obligations of the agreement

Additional clauses to the standard Tenancy Agreement (including Pet Addendums) will incur an additional charge of £50.00.

The first months rent must be paid by cleared funds, on or before the moving in date.

You will be asked to sign a standing order mandate to collect future months rental payments.

The rent you pay is exclusive and hence does not include gas, electricity, water rates, council tax or telephone charges unless otherwise stated. The transfer of utilities into your name is your responsibility.

All of our properties are available on a minimum fixed-term, six-month assured shorthold tenancy only, unless otherwise stated.

Accidental Damage Insurance

The tenancy will be granted upon the condition that you hold insurance that the landlord or agent considers adequate to protect your possessions and accidental damage caused by you to any/all of the furniture and fixtures and fittings at the property as detailed on the inventory. A copy of your insurance certificate must be supplied prior to moving into the property. Moving In

A representative from Ashmore Lettings & Sales will be present at the Move In to read the meters and to assist with the operation of all relevant equipment and appliances. You will be provided with all necessary tenancy documentation, which include all relevant certificates i.e. gas certificate, electric certificate, energy performance certificate, inventory & schedule of condition etc. You will also be provided with the How to Rent guide and the Prescribed Information including Terms & Conditions of the Deposit Protection Scheme we use to protect your security deposit. The sign up process can take between 45 minutes to 1 Hour and requires your full attention to ensure you have plenty of time to read through and understand all the documents you are signing. We therefore, request that no other person(s), including small children and removals personnel will be allowed into the property during this time - only tenant(s) and guarantor(s). To keep distractions to a minimum we will ask any other person(s) arriving at the property to wait outside until the end of the sign up process.

Ending the Tenancy

Our tenancies require tenants to provide at least one month's notice ending on a rental period which, for legal reasons, must be made in writing as also specified in the Tenancy Agreement. We will then pre-market the property for new tenants and send any registered applicants for a viewing. Within your notice please provide dates and times in the week or weekends which suit you for providing access to viewings. To ensure end of tenancy disputes are kept to a minimum please follow the Inventory & Schedule of Condition along with any agreed conditional changes to return the property in the condition it was handed over. Most disputes tend to arise due to the cleanliness of the property or unkempt gardens and rubbish left behind. Please ensure you give yourself enough time to be able to adequately carry out these tasks prior to returning the keys. Keys must be returned to our offices as specified in the exit letter.

Moving Out & Deposit Return

Keys must be returned to our offices on the end date of your rental period as per your notice and as specified in the exit letter. Upon receipt of the keys our Inventory Clerk will attend the property as soon as possible to complete the check-out and final inspection. A full report is usually compiled within 7 days. Any issues will be discussed with outgoing tenants and where possible, an opportunity to rectify potential items of dispute will be provided.

The deposit will be refunded within 28 days after vacation of the accommodation, providing the property is left in a clean and undamaged condition and all monies due under the terms of the tenancy have been paid in full.

References

All reference requests for future landlords or letting agents must be in writing from the appropriate organisation and will only be provided whilst you are our tenant. Retrospective references will be provided up to 3 months after you have vacated. Any requests after this period will be charged at £50.00.

Ashmore Lettings & Sales reserve the right to remarket a property should the above requirements not be met.

Immigration Act 2016

From the 1st December 2014 all landlords will be required to check the immigration status of their tenants and any occupants above the age of 18. Acceptable documents for verification include biometric immigration papers, valid passports or an immigration status paper that says the named person is able to stay in the country for a specified period of time.
